Let’s talk bots.

Specifically, HighLevel AI bots — the ones that are supposed to save us time, money, and a few customer service headaches.

I joined a live Zoom session hosted by Mario Aldayuz (our Head of Partnerships at HL Pro Tools) where agencies from Progreda, GHL Engine, The Syndicate, and beyond showed up to ask the big question: “How do I actually make this AI stuff work?”

The session was packed with tactical tips, a few hilarious misfires, and the kind of insights that could save you weeks of trial and error. Here’s what stuck with me—and what I think you should steal immediately.

The AI Game Plan (What Actually Works)

Here’s how to get your bot acting more like a team member and less like an untrained robot:

1. Clarity is Queen

Think of your bot like a hyper-literal intern. It’s not lazy—it just doesn’t guess well.

✔️ Keep your training docs short, focused, and clean
✔️ Avoid giving it entire websites or 20-tab spreadsheets
✔️ Define the tone and style you want it to use (professional, playful, etc.)

Clear prompts = better answers. Period.

2. Iterate or Die (Okay, Not Literally)

“AI isn’t plug-and-play. It’s test-and-refine.”

If your bot messes up? Cool. That’s your signal to refine.

✅ Rewatch conversations
✅ Look for repeated fails or weird responses
✅ Tweak your prompt or swap out confusing training data

You’re not fixing bugs—you’re training your digital assistant.

3. Make It Match Your Market

You wouldn’t talk to a dog grooming customer the same way you talk to a law client… and neither should your bot.

✨ Add personality and tone based on your niche
📜 Use pre-written qualification scripts to guide the convo
🎯 Focus on intent—like booking, pre-screening, or upselling

One of my favorite examples was a bot that used dog puns while booking grooming appointments. (10/10 vibes, zero fluff.)

4. AI Isn’t Perfect (Yet)

This one’s important.

Your bot will hallucinate sometimes. It will say weird stuff. That’s not failure—that’s just where we’re at with AI right now.

So if it’s quoting prices it shouldn’t? Just remove pricing from the training doc. If it’s repeating itself? Add some logic checks.

Treat it like an evolving part of your business—not a one-click magic fix.
