If you’ve ever launched a HighLevel snapshot and then watched automations fire off like it’s the 4th of July 🎆… you’re not alone.

**Snapshots can be one of HighLevel’s most powerful features—**but if you’re not careful, they can also unleash absolute mayhem on your client’s account. (Ask me how I know. 😅)

This week, we had a 🔥 Zoom session with our HL Pro Tools fam, led by Mario Aldayuz (Head of Partnerships at HL Pro Tools). And in true Mario fashion, he broke down exactly how to avoid those “oh no” moments when loading or launching a snapshot.

If you’re running an agency or building SaaS with HighLevel, this is one of those “don’t skip this” posts. Let’s dig in.

Snapshots: Automate Smarter, Not Louder

So what’s the problem? A HighLevel user named Ocean (shoutout to her 🌊) shared a nightmare scenario:

“I imported a snapshot… and boom—workflows started running before I even finished onboarding the client.”

Yikes. We’ve all been there.

What Mario recommends is simple—but game-changing:

Here’s the Game Plan (Do This Before Every Import)

Step 1: Create a dummy subaccount
Before importing any snapshot into a real client account, spin up a test subaccount just for playing in the sandbox. 🏖️

Step 2: Turn everything off
Yep—go into that dummy account and disable all workflows. That means toggles OFF. Let nothing run until you’ve looked under the hood.

Step 3: Test in folders, not chaos
Work through one folder at a time, triggering test events manually. Look at what’s firing, where it’s going, and whether the logic makes sense.

Step 4: Document everything
If you’re using a third-party snapshot (like one from HL Pro Tools 👋), make sure there’s detailed documentation so you’re not guessing which workflow does what.

Step 5: Break up the beast
Mario also recommends splitting large or multi-brand snapshots into smaller ones—like by offer, brand, or niche. This keeps things modular and way easier to manage long-term.

Why This Matters

  • 💸 You save clients (and yourself) from bad customer experiences
  • 🧠 You stay in control of your automations
  • 🔁 You create repeatable, scalable systems that you can confidently launch again and again

Basically, less chaos = more money. And that’s the kind of math I like.
