Why Your Workflows Aren’t Firing And the Trigger Setting That’s Breaking Everything

Let’s talk about something that doesn’t get enough love in HighLevel but absolutely should: Workflow triggers.

I see this all the time:
You build a killer workflow. It’s beautiful. It’s packed with automation gold.
You test it. You publish it.
And then… crickets. 🦗 Nothing fires when it’s supposed to.

And if you’re working with recurring calendar events, this issue gets even trickier.

Here’s what’s going on and how to fix it fast. 👇

What’s Really Causing Your Workflow to Misfire?

If your automations aren’t firing when someone books on a recurring calendar event, you’re probably using the wrong trigger.

I know, it sounds too simple. But hear me out.

Most folks (including me when I first started) use the “Customer Booked Appointment” trigger in their workflows.

Makes sense, right? Someone books → automation kicks off.

✅ That trigger does work but only for manual bookings.

❌ It does NOT work for auto-recurring appointments. That’s the gotcha.

So if you’ve got recurring events (like a coaching call every Monday or a biweekly check-in), that trigger won’t catch it.

And you’ll sit there wondering why your confirmations, reminders, or follow-ups never fired.

The Fix: Use “Appointment Status” Instead

Here’s the move I use now:

🛠 Swap your trigger to “Appointment Status is Confirmed.”

Why it works:

  • It fires for all appointments, not just manually scheduled ones
  • It covers recurring events, calendar reschedules, and manual updates
  • It gives you more flexibility to build robust workflows that never miss

💥 Pro tip: You can even pair it with filters to target specific calendar types, dates, or contact stages.

Recap: What to Do If Your Appointment Workflows Aren’t Working

If you’re dealing with recurring bookings and nothing’s firing:

  1. Open your workflow
  2. Go to the trigger section
  3. Swap out “Customer Booked Appointment” with:
    • Trigger: Appointment Status
    • Condition: Status = Confirmed

Boom. Problem solved.

Why This Stuff Matters More Than You Think

If your appointment workflows don’t fire reliably, your entire client experience starts falling apart:

  • 😩 Clients don’t get reminders → They no-show
  • 😵‍💫 You waste time manually following up
  • 💸 You miss out on upsell automations, review requests, and pipeline movement

And worst of all? You start doubting your own setup.

But here’s the good news: 99% of these issues aren’t because you’re bad at building—you’re just using a slightly wrong trigger. Easy fix.
